The "Reports" section can be found by going to the "Admin" tab once logged in to Submittal123. Once at the Admin tab, Reports can be found in the far right window titled Reports. Beneath the header are two options for different reports to be generated. Selecting either will open a corresponding window which displays the report builder.

The two types of reporting are:

Submittal Package Reports; the primary reporting tool for tracking packages. This tool will allow you to search by a date range for submittal packages. You can specify to search for packages which include documents from specific folders, or specific documents, or by which user created the package. This is useful for reporting how many packages your office has created so far this year, this month, week or even how many packages you built this year pertaining to a folder (manufacturer), or specific spec sheet. This report will display the number of packages, package names and who created each package.

Document Reports; the primary reporting tool for specific documents. This tool will allow you to search by a date range for specification sheets. You can search by a manufacturer to generate a report that will show how many of each document your office used of that specific manufacturer. Similarly, it is possible to search by a specific document from a manufacturer. This report will show the total number of times used.

Report Builder

Selecting either Submittal Package Reports or Document Reports will bring up the Report Builder window. This window displays the options available for building your report. Build your report in the following order:

1. At the top of the window is the option to select a date range from which to search. Choose the Start Date and End Date for the time period to search within.

2. (Submittal Package Reports Only) Select a Report Type.

Selecting Details will produce a report with detailed information including the package name, creation date, last time updated and name of the user who created it.

Selecting Counts will simply tell you the number of files found.

3. The Folder drop down option can narrow your search by only including packages built which include files from specific folders.

4. The Documents drop down option can narrow your search by only including packages built which include selected specification sheets.

5. (Submittal Package Reports Only) Client Users is the option to produce a list of packages made by specific users from your group.

6. Report Format is a list of the file types available to save and produce your report as. HTML will open your report in a new internet browser window. PDF, .XLS, and FlashPaper will save the report to your computer the same way a submittal package saves. You then have a saved copy of the report on your desktop for your use. No file type is necessarily better, just use the style you are more comfortable with.
